Healthcare RCM ROI Calculator

Build a specialty-context planning scenario from your own workflow volume, time, costs and realization assumptions. See the difference between administrative capacity and financial benefit before making a budget decision.

Planning aid only. Inputs and evidence ratings are supplied by you, not independently verified by QuickIntell. This is not a customer result, price quote, benchmark study, compliance certification or guarantee. Do not enter patient or claim details.

Build your workflow scenario

The initial values are illustrative examples, not specialty benchmarks or QuickIntell performance claims. Replace every value with your own baseline and planning assumptions.

Financial benefit is not automatic: time freed may become capacity rather than a budget saving. Include ongoing integration, oversight, maintenance and change-management costs in your estimate.

How to build a defensible business case

Start with one administrative workflow and a consistent unit of work. For example, an eligibility check is not an entire patient encounter. Measure the baseline using comparable cases, record the observation period, and separate active handling time from waiting time. Ask the workflow owner to confirm the baseline before applying an automation assumption.

Healthcare finance and operations leaders discussing a practical next step

Monthly hours released equal workflow volume multiplied by the difference between baseline and expected handling minutes, divided by sixty. Multiplying those hours by loaded labor cost produces capacity value. That capacity may improve service or absorb growth without reducing payroll. The realization input makes your financial assumption explicit instead of treating all released time as cash savings.

First-year net value subtracts twelve months of recurring costs and the one-time implementation cost from twelve months of assumed realized value. Percentage ROI divides that net value by first-year cost. Simple payback divides setup cost by positive monthly net benefit. Neither measure includes tax, financing, discount rates, revenue recovery or a guarantee of staffing reductions.

Review low, entered and high realization scenarios with finance and operations. These sensitivity cases change one assumption; they are not confidence intervals or an estimate of the probability of success. Validate the proposed scope in an approved pilot, compare actual results with the same baseline, and update the business case when staffing, costs or workflows change.

For vendor due diligence, pair this model with the AI RCM vendor scorecard and the vendor evaluation checklist. Review security and governance materials before sharing operational data. Request a workflow review to discuss scope.

Calculator questions

Are these verified specialty benchmarks?

No. Specialty selection changes the workflow context and volume unit. All numeric inputs are your assumptions. The initial values are illustrative examples, not measured QuickIntell outcomes or independently validated benchmarks.

How does the calculator avoid counting savings twice?

It calculates time released once, values that capacity using your labor cost, then applies your financial-realization assumption. Capacity value and realized financial value are not added together. Revenue recovery and denial-payment improvements are not included.

What costs should I include?

Include recurring software, integration, oversight, maintenance and training costs in the monthly input. Enter setup, migration and initial change-management costs in the implementation input. Values are not a QuickIntell quote.

What happens when the scenario has no payback?

If realized monthly value does not exceed recurring costs, the model reports that payback is not reached. Negative first-year value remains visible. With zero total cost, percentage ROI is undefined rather than shown as an inflated percentage.

Can I receive a PDF report?

Yes. Calculate a scenario and request the detailed report by email. We send the PDF as an attachment, with no confirmation link required. It contains your inputs, calculations, sensitivity scenarios and limitations. Requesting a report does not enroll you in a newsletter.
